Operation processes and procedures
I will
- Comply with the Code of Practice for Marriage Celebrants
- Meet the requirements of the Marriage Act 1961 and the Marriage Regulations 2017
- Observe the laws of the Commonwealth and of any State or Territory where I will solemnise marriages.
- Guide and assist the parties with completing the Notice of intended Marriage (NOIM)
- Provide the parties information and guidance to enable them to choose or compose a ceremony that will meet their needs and expectations.
- Be responsible for ensuring the validity of the marriage according to law.
- Be punctual for marriage ceremonies.
- Ensure that my personal presentation is of an appropriate standard.
- Provide parties with information on how to notify the Commonwealth Attorney Generals Department regarding any concerns or complaints they may have.
- Provide professional facilities to interview clients, etc.
- Maintain knowledge about appropriate family relationship in the community.
- Not breach any copyright laws unless permission is granted and or I have the appropriate copyright license.
- Not discriminate and will adhere to the Australian Human Rights Commission
- Ensure all marriage documents have been finalised within 14 days and uploaded to Births, Deaths & Marriages.
- Maintain my annual Ongoing Professional Development.
- Pay my annual Authorised Marriage Celebrant fee
Privacy and Confidentiality
I will
- Ensure to comply with the Privacy Act 1988
- Not discuss any information with any third party unless explicit permission has been given by the client/s
- Provide an appropriate environment to discuss client’s information privately & confidentially.
- Ensure the information I have collected is used only for the purpose of which it was collected for. Unless the client has given me permission to do so.
- Make sure clients have access to their information if they request it.
- Continuously update all anti-virus and anti-hacking software for my computer.
- Regularly update codes and password protection on my computer
- Make sure hard copy documentation such as contracts and agreements are securely held in a steel cabinet in a secured environment.
Invoicing and refunds
I will
- Request a non-refundable deposit of $100.00 to be paid as a booking confirmation.
- Only consider a booking confirmed upon receipt of the deposit.
- Insist on the full balance of the ceremony payment to be settled no later than 14 days prior to the ceremony, with the possibility of cancellation if payment is not received.
- Maintain a transparent pricing structure that encompasses all costs, clearly outlining payment timeframes and potential payment plans.
- Engage in thorough cost discussions with clients and promptly provide them with an invoice.
- Ensure that any miscellaneous expenses are openly discussed and itemised on the invoice, including applicable GST.
- Have a refund policy in place, which I will present to clients during our initial meeting.
- Offer a refund within 14 days of notification if a cancellation is made 60 days prior to the ceremony date. (excluding the $100 deposit).
- Offer a 50% refund within 14 days of notification if a cancellation is made between 59 and 30 days prior to the ceremony date (excluding the $100 deposit).
- Notify clients that all payments made will be forfeited if a cancellation occurs less than 30 days prior to the ceremony.
- Retain the right, under certain circumstances, to provide refunds outside the aforementioned terms.
- Assure clients that in the event of my own cancellation of any booking at any time, a refund will be provided for all payments made up until that point.
Document recording and storage
I will
- Make sure hard copy documentation such as contracts and agreements are securely held in a steel cabinet in a secured environment.
- Ensure all digital devices have passwords, anti-virus and anti-hacking software.
- Ensure documents are securely destroyed after 6 years from the date of the last wedding.
- Not leave documentation unattended at any time.
- In the event of my resignation, retirement or death have a nominated custodian notify the Marriage Celebrants section of the Attorney General’s Office, transfer any current wedding to another celebrant, notify Births Deaths and Marriages and in the case of death destroy the records.
Equipment maintenance and servicing
I will
- Regularly check my PA system and my back up system including microphones
- Read manufacturers manuals and instructions when purchasing new equipment.
- Regularly check my stationery such as Pens, batteries, cables, ribbons etc.
- Always have my iPad and phone charged.
- Regularly back up & virus check my computer, laptop, iPad & phone.
- Regularly Service & Maintain my car.
- Request that my clients bear the financial responsibility for any incurred expenses resulting from damage (including repairs or replacement) to my equipment utilised during the ceremony, regardless of whether the damage was caused by the clients themselves, their guests, or any other individuals present at the event.
Stationery ordering
I will
- Ensure all marriage forms are up-to-date and current by downloading them from the Attorney General’s Website
- Purchase Form 15 Certificate of Marriage, Marriage Certificates Envelopes, Buff Envelopes & ‘Happily ever…before and after’ brochure from CanPrint.
- Complete a regular stocktake on the stationery from CanPrint.
- Immediately action any notifications emails from the Attorney General’s Department informing me of any changes made to forms.
